Conditions of entry

1. General

1.1 Entry is open to all who live permanently in New Zealand or have New Zealand citizenship.

1.2 Artists can enter through the official awards website:
www.mollymorpethcanaday.co.nz  or by using the postal or email method.
A postal version of the entry form is available for those artists who do not have access to a computer.
Copies can be requested through mollymorpethcanadayaward@gmail.com

1.3 A separate entry form must be completed for each entry.
•Each artist may submit up to two entries.
•The entry fee is $40 per entry.
•The fee is non-refundable.

1.4 Whakatāne District Council reserves the right to eliminate works that do not comply with the awards criteria.

1.5 All correspondence between the entrant, Arts Whakatāne and Whakatāne District Council is private and confidential and will not be shared with third parties.

2. Artwork

2.1 The artwork entered must be three dimensional.

2.2 All works must be original; not infringe upon NZ
copyright laws; and is the work of the artist entering.

2.3 All works must have been completed after 1st December 2018.

2.4 Works entered must not have been exhibited in another public art award exhibition or competition prior to this
exhibition.

2.5 The overall weight must be under 30 kg when packed.

2.6 The artwork must be able to fit through the internal gallery door, (size -1500 mm x 2500 mm), and sit comfortably within the gallery space.

2.7 Artworks to be suspended from the ceiling, must have secure hanging fixtures and not exceed a load bearing limit of 1.5kg / m2.

2.8 Specific installation systems must be provided with the artwork. All installation, maintenance and operational costs not covered by the normal exhibition services of Whakatāne District Council, will be the responsibility of the artist.

2.9 Artworks must comply with the health and safety standards of Whakatāne District Council. See 6.2 and 6.3.

2.10  All works accepted for the final exhibition must stay on display for the entire exhibition period.

3. Entry Information

3.1 All entrants are required to submit 1 - 3 images of each artwork entered.
a. Images are to be uploaded in JPEG file format 1-2 MB.
b. Images must be a true and accurate representation of the artwork entered.
c. One of the images supplied must be a view of the full work positioned in a gallery or studio space, in order for the scale to be seen in context.
d. There is an video option in the online entry form to submit a you-tube link of your work. The video link must not identify the artist.
e. Images will be used in the pre-selection judging process.

3.2 Artists are encouraged to submit an artist statement about each work.
a. Artist statements to be a maximum of 100 words and must be in ‘word’ document file.
b. Whakatāne District Council reserves the right to edit the text for grammatical errors and exhibition standards.

3.3 Entry information is final and cannot be changed after submission.

4. Packing, artwork delivery and return

4.1 Selected entrants are responsible for the timely delivery of works prior to installation, and for the collection of unsold works following the closure of the exhibition.
Selected works, both forward and return freight, will be the responsibility of the artist. If an artwork is to be returned by freight, there will be a flat rate option offered by Arts Whakatane at the time of notification of artist exhibitors.

4.2.a DELIVERY TIMES
Courier Delivery: By Friday 31 January 2020 (9am –5pm)
Personal Delivery: Saturday 1 February – Sunday 2 February 2020 (10am – 2pm)

4.2.b RETURN TIMES
Freight Return of works: Dispatch co-ordinated by Whakatāne District Council
Personal Collection of works: Saturday 18 April 2020 between 10am and  1.30pm. Otherwise by appointment.

5. Insurance and Security

5.1 Insurance: Transit
Insurance cover is the sole responsibility of the entrant while the work is in transit, to and from the exhibition.
 
5.2 Insurance: Te Kōputu – the Whakatāne Library and Exhibition Centre.
Upon receipt and for the duration of the exhibition, artworks will be covered by the Whakatāne District Council’s Fine Arts Insurance Policy. This insurance policy covers unforeseen damage or loss for artworks on consignment.

5.3 The gallery spaces are manned by ‘Gallery Hosts’ and surveillance cameras are in operation throughout the exhibition period.

6. Health and safety considerations

6.1 Any exhibitor with an entry that may have specific environment or health and safety issues or requirements is required to inform Whakatāne District Council ahead of time.

6.2 No natural materials that might decay or carry ‘wildlife’ are permitted in the space due to the proximity of the Whakatāne Museum Heritage display,
Contact arts@whakatane.govt.nz if further clarification is
required.

6.3  Selected works with electrical components supplied by the entrant must be checked by a registered electrician prior to delivery, and must be accompanied by a valid safety certificate.

7. Judging process

7.1 All submissions will go through pre-selection judging based on the digital images provided. The works will be judged on merit by three pre-selection judges. Each judge will score entries independently. Collated scores determine which works are selected for exhibition. NOTE: Pre-selection judges will have access to the digital image(s) and artist statements provided by each entrant. Pre-selection judges will not be given names of entrants; submissions will be identified by entry number.

7.2 All artists will be informed of the outcomes of pre-selection judging by email on or before Wednesday 8 January 2020.

7.3 All selected works must be delivered to Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre within time frames set out in 4.1.a and 4.1.b

7.4 Final judging will be carried out by the Guest Judge following the installation of selected works. Final judging
determines award winners. The Guest Judge will have access to the physical artworks, artist statements and names of entrants.

7.5 Award-winners will be notified by phone on the evening of Wednesday 12 February. All winners are encouraged
to attend Opening Night to receive their award.

8. Sale of artworks

8.1 All works are for sale, and loaned to Whakatāne District Council on consignment. Sale prices include 35% commission to be taken by Arts Whakatāne. (The 35% component includes GST)

8.2 Artwork sales - Relevant artists will be notified of sales by the Co-ordinator.

9. Media and publicity

9.1  Molly Morpeth Canaday Award may use images provided by entrants (with credit/attribution) in Molly Morpeth Canaday Award related media outputs.

9.2 Additional images of works may be taken in the gallery space, and circulated by Molly Morpeth Canaday Award.


10. The exhibition

The exhibition will be on display at the Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre
from Sunday 16 February, until Sunday 12 April 2020.
