Eligibility and conditions of entry 
Molly Morpeth Canaday Award - Painting Drawing 2021




1. General
1.1 Entry is open to all who live permanently in New Zealand or have New Zealand citizenship.

1.2 Artists can enter through the official awards website: www.mollymorpethcanaday.co.nz  if you need help with making a submission or require other alternatives please email the coordinator mollymorpethcanadayaward@gmail.com

1.3 A separate entry form must be completed for each entry. Each artist may submit up to two entries. The entry fee is $40 per entry. The fee is non-refundable.

1.4 Molly Morpeth Canaday and Whakatāne District Council reserves the right to disqualify works that do not comply with the awards criteria.

1.5 All correspondence between the entrant, Molly Morpeth Canaday and Whakatāne District Council reserves is private and confidential and will not be shared with third parties.
 
1.6 Artist will be required to cover costs for freight to Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre. If work is slected for final exhibtion, Arts Whakatāne will cover freight return of work unless sold.

2. Artwork
2.1 The work must be in the arts discipline of ‘painting and drawing’ for wall surface hanging or flat surface.

2.2 The artwork must be within the dimensions and weight requirements for shipping,
The longest side of the work, including framing, and packaging must not exceed 1500mm. The overall weight when packed must not exceed 30kg.

2.3 The artwork must be robust and suitable for display.

a) All artwork must have secure surfaces; i.e. fragile pastel and charcoal surfaces must be ‘fixed’. Paint must be dry.
b) Materials with a propensity to decay needs to be contained and sealed. Contact arts@whakatane.govt.nz if further clarification is required.

2.4 All works must be original; not infringe upon NZ copyright laws; and is the work of the artist entering.

2.5 All works must have been completed after 1st December 2019.
a) Works must be completed on submitting entry.
b) Works will be marked non-compliant if visible additions to the work haven made if selected as a finalist.

2.7 Works entered must not have been exhibited in another public art award exhibition or competition prior to this exhibition.

2.8 Specific hanging or installation systems must be provided with the artwork. All installation, maintenance and operational costs not covered by the normal exhibition services of Whakatāne Museum and will be the responsibility of the artist.

2.9 All works accepted for the final exhibition must stay on display for the entire exhibition period. Artwork must comply with Health and Safety standards of Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre. See 6.2 and 6.3

3. Entry Information

3.1 All entrants are required to submit 1 - 3 images of each artwork entered.

- Images are to be uploaded in JPEG file format 1-2 MB.

- Images must be a true and accurate representation of the artwork entered.

- One of the images supplied must be a view of the full work and not hindered by other objects or imagery.

 - There is an video option in the online entry form to submit a you-tube link of your work. The video link must not identify the artist.

- Images will be used in the pre-selection judging process and for promotional purposes.

- Artists are to submit an artist statement about each work. Artist statements to be a maximum of 100 words and must be in ‘word’ document file.

- Molly Morpeth Canaday and Whakatāne District Council reserves the right to edit the text for grammatical errors and meet exhibition standards.

- Entry information is final and cannot be changed after submission.
 
4. Packing, artwork delivery and return

4.1 Selected entrants are responsible for the timely delivery of works prior to installation, and for the collection of unsold works following the closure of the exhibition. Selected works, both forward and return freight, will be the responsibility of the artist. If an artwork is to be returned by freight, there will be a flat rate option offered by Arts Whakatane

4.2.Delivery Times
a)    Delivery of works Monday 25 January - Sunday 31st January 2021 Freight accepted Monday 25 January - Sunday 31 January.

Personal delivery accepted Saturday 30 January - Sunday 31 January 10am - 2pm, or by earlier appointment (please email arts@whakatane.govt.nz to arrange). All works must be received before 2pm Sunday 31 January.

Physical delivery address: Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre, 49 Kakahoroa Drive, trade entrance via New World Service Lane, Whakatāne.

4.3.Return Times
 
Freight Return of works: Dispatch co-ordinated by Te Kōputu a te whanga a Toi - Whakatāne Library and returns cost covered by Arts Whakatāne between Monday 12 April – Friday 16 April 2021. Personal Collection of works: Saturday 10th and 11  April 2021 Otherwise by appointment.

5. Insurance and Security

5.1 Insurance: Items loaned for exhibition are covered against all risks of physical loss or damage under Whakatāne District Council's Fine Arts insurance policy, from the time the item leaves the artist's premises to the time it returns to the artist's premises. [Covered while in transit both ways, in storage, and on display].
 
5.2 The gallery spaces are not manned by ‘Gallery Hosts’ at all times and surveillance cameras are in operation throughout the exhibition period.

6. Health and safety considerations

6.1 Any exhibitor with an entry that may have specific environment or health and safety issues or requirements is required to inform Whakatāne District Council ahead of time in the final stage information request documentation.
 
6.2 No natural materials that might decay or carry ‘wildlife’ are permitted in the space due to the proximity of the Whakatāne Museum Heritage display, Contact arts@whakatane.govt.nz if further clarification is required.

7. Judging process

7.1 All submissions will go through pre-selection judging based on the digital images provided. The works will be judged on merit by three pre-selection judges. Each judge will score entries independently. Collated scores determine which works are selected for exhibition. NOTE: Pre-selection judges will have access to the digital image(s) and artist statements provided by each entrant. Pre-selection judges will not be given names of entrants; submissions will be identified by entry number.

7.2 All artists will be informed of the outcomes of pre-selection judging by email on or before 8 January 2021

7.3 All selected works must be delivered to Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre within time frames set out in 4.1.a and 4.1.b

7.4 Final judging will be carried out by the Guest Judge following the installation of selected works. Final judging determines award winners. The Guest Judge will have access to the physical artworks, artist statements and names of entrants.

7.5 Award-winners will be notified by phone on the evening of Wednesday 10 February 2021. All winners are encouraged to attend Opening Night to receive their award.

8. Sale of artworks

8.1 All works are for sale, and loaned to Whakatāne District Council on consignment. Sale prices include 35% commission to be taken by Arts Whakatāne. (The 35% component includes GST)

8.2 Artwork sales - Relevant artists will be notified of sales by the Co-ordinator.
8.3 Payments to the artist will be processed after exhibtion closes, this is expected to paid to the artists 20 May 2021

9. Media and publicity

9.1  Molly Morpeth Canaday Award may use images provided by entrants (with credit/attribution) in Molly Morpeth Canaday Award related media outputs present and future awards.

9.2 Additional images of works may be taken in the gallery space, and circulated by Molly Morpeth Canaday Award.
9.3 Finalist and award winners may be contacted for media purposes to provide additional material such as statements or imagery.

10. The exhibition

The exhibition will be on display at the Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre from Saturday 13 February opening night and on display from Sunday 14 February – Sunday 4 April.
